Compliance & Documentation Executive

About Us

About the Role

We are looking for a Compliance & Documentation Executive to serve as the custodian of True North's Integrated Management System and the engine behind our internal audit programme. Based in Lahore and reporting to the QHSE Manager, you will ensure every policy, procedure, form, and record across the company is current, controlled, traceable, and audit-ready at all times. You will work closely with project leads, site supervisors, HR, and senior management to maintain our ISO certifications and prepare the organisation for internal, client, and external audits.

Key Responsibilities

  • Maintain the master register of all controlled documents across QMS, EMS, and OH&S systems - managing creation, review, approval, revision, and archival in line with IMS procedures.
  • Enforce version control, unique document IDs, revision histories, and obsolete-document handling across both hard-copy and electronic repositories.
  • Plan, schedule, and conduct internal audits across departments and project sites; prepare checklists, programmes, and reports, and track all findings to closure.
  • Coordinate non-conformance reports (NCRs), root cause analysis, and corrective and preventive actions (CAPA); verify effectiveness of actions taken.
  • Act as the focal point during external surveillance and recertification audits by certification bodies, and support client and third-party audits.
  • Keep IMS manuals, procedures, work instructions, forms, and registers current and aligned with ISO 9001:2015, ISO 14001:2015, and ISO 45001:2018.
  • Support Management Review Meetings - prepare inputs including audit results, NCRs, KPIs, customer feedback, and risks, and document all outputs and actions.
  • Maintain risk registers, legal and regulatory compliance registers, and aspect/impact and hazard/risk registers.
  • Conduct IMS induction and refresher training for staff; maintain training records, competency matrices, and awareness logs.
  • Prepare monthly QHSE and document-control reports for senior management.

About You

  • Bachelor's degree in Engineering, QHSE, Business Administration, or a related discipline.
  • 3–5 years of hands-on experience as a Document Controller in an ISO-certified organisation.
  • Demonstrable experience with ISO 9001, ISO 14001, and ISO 45001 documentation and audit cycles.
  • Certified Internal Auditor for ISO 9001, ISO 14001, and/or ISO 45001 (IRCA / Exemplar Global recognised course preferred).
  • Strong working knowledge of MS Office and document management practices; familiarity with SharePoint or DMS platforms is a plus.
  • Excellent written and spoken English - able to draft procedures, audit findings, and management reports with clarity and precision.
  • Lead Auditor certification and prior experience in a Facility Management or Project Management organisation are a distinct advantage.

  • Clear, professional communication in both written and verbal form, with the confidence to challenge gaps and drive closure during audits.
  • Highly organised and methodical, with the ability to manage document streams across multiple sites and departments simultaneously.
  • Confidentiality and integrity in handling sensitive company, client, and certification body information.
